After a client contacts the CHAI Core requesting services, a meeting is scheduled with the PI and/or project manager. A CHAI point person is assigned to the project and, if available, a copy of the project proposal and budget is requested prior to the meeting. This gives us a general idea of the services the project might require, and which additional CHAI staff should be present at the first meeting. The purpose of this first meeting is to discover, through a dialogue, what the project needs and how CHAI can be of the best assistance. Below is some of the information we will want to discuss in our first meeting:
- background and history of the project.
- desired goals and outcomes for the project (and how you'll know that they've been achieved).
- intended user or audience groups (if more than one group, what is the order of priority).
- context of the project's use (where and how will the project be viewed/presented/accessed).
- possible ways the project may expand or change in the future.
- project timelines and priorities of tasks, if any.
- what will be possible within budget and timeframe.
- who on the project team will be responsible for final design and content decisions.
After the initial meeting, CHAI will draft a development plan for your approval that outlines the responsibilities of both CHAI and your project. The CHAI staff will work with the PI and/or project manager to ensure that all project work proceeds according to the development plan, and that any necessary changes or revisions are approved by everyone involved.
